Why SaaS Club Software Falls Short for UK Clubs
Because every SaaS platform was originally built for one specific type of club, then bolted on extras to chase wider audiences. SportMember was built around team sports with regular fixtures. Wild Apricot started as a generic association tool. Outseta is a creator-economy platform repurposed for clubs. ClubSpark was built around tennis. None of them were architected from a blank page for a 200-member rowing club, or a 60-member sailing club, or a community CIC running monthly socials. So you end up adapting how the club actually operates to fit the software, instead of the other way round. That works at first, then frustrates everyone three years in.
Where SaaS Still Wins for Clubs
Two scenarios genuinely make sense for SaaS. First: clubs with under 30 members and a single use case (basic membership and one type of booking). Wild Apricot at £45 a month is hard to beat at that scale. Second: clubs whose committee turns over yearly with no technical confidence, where being on a mainstream platform means easier handover. Club Management Features UK Clubs Really Need
Less than committees usually think. After building these systems for clubs of 60 to 600 members, the actual must-haves boil down to: a public website, member sign-up with payment, a member-only login area, one or two booking flows specific to the club (boats, courts, sessions, lanes, events), automated renewal reminders, and a dashboard the treasurer can read without help. Everything else is gravy. The extras committees ask for and rarely use: forums, members directories with searchable filters, custom committee voting interfaces, and integrations with software the club doesn't own. Build the core five workflows properly first; add the gravy in year two if anyone genuinely wants it.
Club Member Portal Usage Patterns
Across the live club systems Nene IT runs, the bulk of member portal traffic goes to just four pages - login, book a session, pay an invoice, and update contact details. Everything else - results, fixtures, news, gallery and policy documents - gets far less use. Knowing this changes how you design. The four high-traffic pages get prime navigation, are reachable in two taps from the dashboard, and are mobile-optimised first. The rest can sit behind a "more" link.

The club owns the data, always. The code is licensed to the club for as long as the subscription runs, and the source can be handed over for a one-off transfer fee if the club ever wants to take the system fully in-house or move to another developer. - How long does building a club system take?
- Varies with scope, but we build in stages. The website goes live first, then we add features one at a time after that. You're never waiting on a single big-bang launch - there's something usable from early on.
- Can you migrate our existing member data?
- Yes. Whether your data is in spreadsheets, a current SaaS platform, or paper, we can import it. We've migrated from SportMember, Wild Apricot and various spreadsheet systems before.
- Do members need to download an app?
- No - everything works in a normal web browser on phone, tablet and laptop. Some clubs do later add a branded mobile app on top, but it's not required.
- What happens to our data if we leave?
- It's exported to you in standard formats. The system itself stops working at end of notice but the data is yours and we hand it over without fuss.
- Can you handle Stripe payments and direct debits?
- Yes - Stripe is integrated as standard, both for one-off card payments and recurring subscriptions. We can also wire in GoCardless for direct debit if that suits your club better.
- How does support work?
