How much does custom club software cost compared to SaaS like SportMember or Spond?

From £200 a month for a custom build, all-in - that covers development, hosting, support and ongoing tweaks. SportMember charges roughly £2-£3 per member per month, so a 200-member club ends up paying £400-£600 a month and it gets dearer every time you recruit. ClubSpark is tennis-specific. Spond is fine for casual teams but light on accounts and committee tools. Custom pays back somewhere around year one or two for most clubs that have outgrown SaaS, and it stops getting more expensive as the club grows.

When does custom make sense over SportMember, Wild Apricot, ClubSpark or Spond?

Three honest tests. One: are your per-member fees scaling faster than the club's income? Two: is the committee running important things - race entries, hire bookings, accounts - in spreadsheets because the SaaS doesn't quite fit? Three: are two or more systems failing to talk to each other and the secretary is copy-pasting between them? If you say yes to any of these, custom is worth costing up. If your processes map cleanly onto a mainstream SaaS, stay on it - I'll tell you that straight.

How long does a custom club build take?

A small bolt-on (one feature added to an existing site) is quick. A member portal with logins, payments and a few screens is a medium piece of work. A full club management system is a bigger build. I work in short iterations so the committee sees usable software early on - never a black box where everything lands at the end. The biggest causes of delay are usually waiting on content, data exports or AGM-cycle sign-off, not the build itself.

What technologies do you use?

Laravel (PHP) for the backend, MySQL for data, Vue or React for the front end where it needs to feel snappy, Stripe and GoCardless for payments, MailerSend or AWS SES for member emails. All open standards, hostable anywhere - no vendor-locked frameworks, no proprietary low-code platforms that trap your member data. I've been writing PHP and JavaScript for nearly twenty years, including time at larger AI and tech companies, so the stack choices are deliberate.

Does the club own the code and the member data?

Yes. On one-off projects the club owns the code outright on final payment - I push it to a club-owned GitHub or hand over a zip. On the monthly subscription model the code is licensed to the club while the subscription runs, and transfers fully for a one-off fee if the club ever wants to leave. Member data is the club's from day one, exportable as CSV or SQL dump on request. No "the code stays with the agency" clauses, no exit fees on member data.

How do you handle the cost risk on a long build for a club budget?

Fixed price per phase, paid in milestones - usually 30% on plan sign-off, 40% at functional preview, 30% on launch. The committee sees working software at every milestone before paying the next chunk, so if it's going wrong you can stop with no further commitment. For bigger builds I'll quote phase one only, then re-quote phase two once we both understand the shape better. No open-ended time-and-materials invoices that would terrify a treasurer.

Can you integrate with our existing tools?

Most likely yes. Common ones I've connected for clubs: Stripe and GoCardless for payments, Xero and QuickBooks for the treasurer's accounts, Mailchimp or MailerLite for newsletters, Google Workspace and Microsoft 365 for committee email, Zapier and Make for the bits no-one's built a direct integration for. If your existing system has an API or even CSV exports, I can pull data in and out. The only blockers are systems that genuinely have no integration surface, and those are rare.

What happens to support after launch?

If you're on the monthly subscription, support is bundled in - hosting, security patches, small tweaks and "how do I do X" questions from new committee members are all covered. The first 30 days post-launch are also free for bug fixes if something I built is broken, that's on me. Most clubs stay on the monthly model because new ideas always come up once the committee has a year of using the system - cup competitions, junior summer camps, end-of-season presentations.
