Sports Club Website Questions
How much does a club management system cost?
From £30 a month plus £15 hosting - so £45 all in for a club of any size. That covers member management, online bookings, payment processing, attendance tracking and a public website. The traditional alternative is £3,000-£8,000 upfront for a custom build, then £100+ a month for hosting and a separate maintenance retainer. The monthly model means a 40-member tennis club pays the same as a 400-member rowing club - the build cost is amortised, not loaded onto a single committee.
How is this different from SportMember, Wild Apricot, ClubSpark or Spond?
Those are off-the-shelf SaaS - same screens for every club, charge per member, and you flex your processes to fit them. This is custom software built around how your club actually works. SportMember runs about £2-£3 per member per month so a 200-member club pays £400-£600 a month. ClubSpark is tennis-specific. Spond is great for casual teams but light on accounts and committee tools. The custom approach makes sense when SaaS limits are starting to hurt - bespoke fields, custom session rules, integrated accounts, multi-section clubs.
How long does the build take?
Varies with scope. Discovery first, with a written plan. Build next, with working previews throughout so nothing lands as a black-box reveal. Data migration and committee training come together once the build is solid. Then a soft launch with a small group of members before the rest come on. Oundle Town Rowing Club went from spreadsheets to a full system in stages, with the core member portal live early on while we kept adding features after that.
Can you migrate our existing member spreadsheet or SaaS data?
Yes. CSV exports from spreadsheets, Excel or Google Sheets are straightforward - I'll write a one-off import script. SaaS migrations depend on what the platform lets you export. SportMember, Wild Apricot, ClubSpark and Spond all have CSV export of members. Payment history sometimes only exports to PDF, in which case we either start fresh in the new system or import a summary line per member. I'll always do a test migration on a copy first so the committee can sanity-check before we go live.
What happens to our data if we leave?
You get a full SQL dump and a CSV export of every table - members, bookings, payments, attendance, the lot. No exit fees, no 90-day notice clauses, no "we'll send it over once you've paid the final invoice". The data is yours from day one. If you want to take the code with you and self-host, that transfer is a one-off fee covering the licence handover, not a punishment for leaving. Most SaaS contracts in this space lock data behind cancellation - this doesn't.
Can the system handle Stripe payments and GoCardless direct debits?
Both, side by side. Stripe handles card payments for one-off fees - event sign-ups, kit, social tickets. GoCardless handles recurring direct debits for monthly or annual memberships and works out cheaper than Stripe's recurring rates (1% capped at £4 per transaction vs 1.5%+20p). Members can choose at signup which they prefer. Failed payments retry automatically and chase emails go out without anyone on the committee having to track it.
What if our committee changes - is the system still maintainable?
The system itself doesn't care who's on the committee - admin access transfers in two clicks. The bigger question is documentation. Every install comes with a written admin guide covering the 10-15 things a new chair, secretary or treasurer needs to know. Plus I'm an email or phone call away when a new committee member gets stuck - no extra charge for "how do I do X" questions, that's what the monthly fee covers.
Do members need a mobile app?
No. Everything works as a mobile-friendly website - members log in via the browser on their phone and it behaves like an app (full screen, saved login, "add to home screen" icon if they want it). Building a native iOS and Android app adds £8,000-£15,000 plus £200 a year in app store fees, and most clubs don't see the engagement uplift to justify it. Spond has a native app and members still mostly check it on the web. If a native app does become useful later, the existing web system already exposes the data through an API.
